The Timesheet screen is designed to speed up the time entry process for jobs. One timesheet is automatically created for each user. The user can manipulate this timesheet as required when moving from job to job.
The Timesheet has two areas on the screen....Employee List and Job Phase List.
Follow this procedure to enter timecards:
Step 1: Add Employees
First add employees by clicking on ADD EMPLOYEES. This will open a dialog box showing all the employees. Check off the employees that are assigned to your job. If an employee leaves the job, you can click on the TRASH icon. This will remove the employee from your list.
Step 2: Add Job Phases
Click on ADD JOB PHASES. This will open a dialog box so you can add the job phases from your job. You can add/remove job phases as the job progresses, so it is not necessary to add all the job phases at the beginning. Ideally you want to just have the active job phases. This dialog box will remember your last setting so you can easily add new phases from your job.
You can also add Non-Job Phases such as Indirect Departments.
Step 3: Create Timecards
Set the HOURS FOR EACH ENTRY to the correct number.
For instance 8 hours, 4 hours, etc. This field scrolls by an increment you can adjust in Timesheet Setup.
Method 1: Drag one employee onto a job phase.
This will create a timecard for this employee using the Hours For Each Entry setting...for instance 8 hours.
Method 2: Select several employees. Select a job Phase. Click the button ADD EMPLOYEES TO JOB PHASES.
This method will create a timecard for each employee for the job phase, again using the number of hours you set.
Note: As you create timecards, the employee list on the right will update with the total hours entered for the week for each employee. You can see this in the column called HOURS.
View the Week
You can view the entire week by checking SHOW ENTIRE WEEK.
The display will change to show you a list of timecards entered. You can use the VIEWS dropdown to see the timecards organized in various ways. For more information on views click

You can also make adjustments (hours, pay type) to timecards in this view, however you cannot add timecards in this view. Edit those entries directly in the columns.
Adjust Entry Date
The method above will default to TODAY. If you need to make entries on other days adjust the entry date field.

Auto Overtime Settings
The timesheet can automatically determine overtime and double time. You can adjust these settings on TIMESHEET SETUP. If overtime is detected, the system will create one regular timecard and one overtime timecard.
Example:
If you set Overtime to occur after 8 hours in a day,
Then you drag a employee onto a phase using 10 hours as your default,
The system will create one timecard for 8 regular hours and one timecard for 2 overtime hours.
Auto Holiday Settings
The Timesheet can determine the Holiday pay type automatically from the calendar. The calendar is set Time Entry Configuration. When a timecard is created for a holiday it will be set to paytype = H (Holiday).
Bulk Fixing Entries
There is a method for bulk fixing entries that can be used in with the day view or the week view.
Grab the corner handle on the pay type column and pull down. This will change all the entries to the pay type you selected.
Sharing your Timesheet
It may be helpful to be able to share your timesheet with a co-worker, such as an assistant foreman. This allows either of you to create timecards on the same timesheet, however be careful not be to making entries at the same time...this can lead to confusion.
To share your timesheet click on TIMESHEET SETUP.
Select SHARE WITH and find the person you wish to share with.
Adjusting Columns
All of the grids can be adjusted to show/hide columns and saved as a view.
