This screen provides a way for users to approve timecards.
Access to this screen is controlled by permissions.
The system will flag timecards for any employee that is set with a supervisor code. These time cards appear highlighted with a light yellow background. If there is no supervisor code there is no highlight.
Approve Time Cards
The screen will populate with all the timecards for the week ending date you set.
Unapproved time cards will show with a light yellow background.
To approve time cards, click on the SELECT box on the left side. You can select one or multiple time cards.
If you want to approve a range of time cards then follow these steps:
- Click the SELECT box for the first time card you wish to approve.
- Hold the SHIFT key and click the SELECT box for the last time card you wish to approve.
Once you have selected all the time cards, then click the button APPROVE SELECTED.
The system then marks those time cards approved and tags the records with the date/time and user that did the approval.
Unapprove Time Cards
If you wish to unapprove any time cards then select the time cards using. the method above and click the button UNAPPROVE SELECTED.
Who Can Approve?
The system recognizes two people that can approve time cards:
- Supervisors - for employees tagged with their supervisor ID
- Project Managers - for time cards charged to their projects
In other words, the system will filter the time cards so supervisors will only see records that match their supervisor ID and project managers will only see time cards charged to their projects.
Project manager filtering happens automatically based on the project manager setup in Spectrum.
Supervisors have to be setup and tagged to employees in Spectrum first, then you must setup the approvals table in time card configuration for the supervisor system to work. You can have multiple people setup for one supervisor code. Go to Time Cards | Configuration for this setup.
