Release Notes - October 2024

There are a number of changes to the system that have been posted.

Quantities

It is now possible to make quantity entries directly on the Labor Analysis screen. For this to be effective, there is a new view called "Quantity Entry".

There are three new columns:
  1. Additional Quantity - this is an entry field, so the users can enter the quantity for the week.
  2. New JTD Quantity - this is an entry field, so users can enter the JTD Quantity.
  3. Unposted Quantity - this is quantity in Spectrum that has not been posted to job cost.
If you enter Additional Quantity:  New JTD Quantity = JTD Quantity + Unposted Quantity + Additional Quantity 
If you enter New JTD Quantity:  Additional Quantity = New JTD Quantity - JTD Quantity - Unposted Quantity

Once you click SAVE DETAILS the Additional Quantity is transferred to Spectrum.

There is a new setting beside the SAVE DETAILS button:  POSTING DATE
This is the date for the quantity posting.  This will default to TODAY, however you can adjust to some other date.  This is helpful if you enter quantities on Monday that need to be posted to Friday of the previous week.

Job Review

Some minor adjustments were made to the Job Review screen.
  1. Add Strategy has been changed to ADD REPORT. This is designed so the project manager can add a monthly report.
  2. The dialog box for ADD REPORT allows for rich text entry now.
  3. The grid displaying the reports will expand to the size of the text.
If this screen is not visible, you need to adjust permissions for the roles that need access.

Look Ahead

Some minor adjustments to this screen:
  1. The CREW field now persists from week to week.
  2. There is a new NOTES field that will persist from week to week.

Look Ahead Summary

Go to: Phase Codes for All Jobs | Look Ahead on All Jobs
There is a new screen that rolls up the Look Ahead data for all phase codes and all jobs into one screen.  This provides a much more granular view of the manpower requirements for the next 6 weeks.

You can make entries into this screen the same as you would on the Job Screen.

You need to adjust permissions for this screen to be visible in the menu.
Go to: Setup | Permissions Setup
Select the role that needs permission.
Under Phase-Code-Screen, Check off "Look-Ahead-on-All-Jobs"

Time Entry

We have adjusted the time entry export process.  Now there are two ways to export time cards.
  1. CSV File.  This is the process being used now.
  2. Direct Transfer.  This is new.  It will push the time cards directly into Spectrum and avoids having an intermediate file.
The Direct Transfer puts the time card data into a different place than the CSV file import.  After you do the direct transfer then open Spectrum and go to Payroll | Data Entry | Approve Pre-Time Import.  

Pre-Time Import has two screens.  Time Cards and Quantity Records.  The default is Time Cards.  If you are also importing quantity records, you will also need to switch to QUANTITY and repeat the process.

You can use batch code ALL. or if you want to isolate just the JobSiteForecast entries, then use batch code JSF.  Review the time cards to ensure they transferred properly, then you can review them or just click Approve All.
