Job Checklists - new module
The system now provides checklists for jobs.
Checklists are typically created in templates then applied to the job. Then you can add or remove any tasks specific to the job. We provide multiple checklists for a job, so you can have checklists such as:
- Pre Construction
- Field Handover
- Inspection List
- Job Closeout
Checklists can be copied from Job to Job, Template to Job or Job to Template providing lots of flexibility. Checklists can be created for anything that you normally do on a job.
Date, status and ball-in-court of each checklist task is tracked and color coded so you can tell at a glance the progress on the checklist. For complicated checklists the application supports multiple levels of tasks.
Master Gantt Schedule - new module
Under the SUMMARY item on the menu you will find this new module.
This Gantt chart will roll up all the individual job schedules into one master schedule. This screen has all the scheduling functions as the normal schedule screen. This allows you to adjust any job schedule on the master schedule.
If you have lots of active jobs this screen may take a minute to load.
There is one additional function on this screen to SHOW SCHEDULED JOBS ONLY. This is helpful if there are smaller jobs that you do not want in the schedule.
The purpose of this screen is to roll up all the resource requirements for the company. This can be very helpful for labor planning.
Job Schedule Screen
There is now an UNSCHEDULE button on the tasks. This is to remove items from the Gantt chart that you don't want showing or scheduled.
The SHOW SCHEDULED TASKS ONLY checkbox will allow you to suppress all the unscheduled tasks in order to keep the Gantt schedule as simple as possible.
The EXPORT function will exclude any unscheduled tasks. In addition there is now a dialog box that will appear when exporting the Gantt schedule that provides for the ability to set a date range for your export. As the job gets closer to the end you can now limit the details that are shown in the export.
Summary Screens
When you launch a job from one of the summary screens it will open the job in a new window. This will preserve your view on the summary screen so you can return and launch another job.
Permissions
We have adjusted how the system admin permission is setup. There is a new role call System Admin. You can now assign this role to multiple people. This role will automatically have permissions to all the modules your company have subscribed to.
In the permission screen you will be able to see all the modules and which ones your company has subscribed to which ones are not currently available to your company. In this way, you can see all the available functions in the application.
There is also now a way to define the landing page for a role. For instance if the project managers want to start from a certain screen, you can now define the screen that will load when they sign in. You may want Foremen to land on the Labor Summary, Project Managers to land on the Cost Summary, Payroll people to land on time cards, etc.
Labor Analysis Screen
We have added new user entry field called "Projected Hours Target". This field can be turned on if you want to set targets for phase codes that are different from the estimate. This may happen in cases where you expect substantial deviation (plus or minus) from the estimate and you want to set a new labor hours target without changing the estimate.
There is a new RECALC button on this screen that appears when calculations are pending. If everything is up to date, this button will not be shown. Calculations are pending when time cards are added, either from our timecard system or timecards being read from Spectrum. This is to prevent projections from changing every time a timecard is entered. Clicking this button will run all the calculations. Alternatively, if you make an entry on any line, this will also cause all the calculations to be updated.
Cost Analysis Screen
The SYNC button will now send all records to Spectrum, not just the variances. This is to ensure both systems have exactly the same cost and hours.
Timecards
A field has been added to time card entry to show the STATE TAX CODE that will be applied in the payroll system. All time card users will see this code as they enter the time card hours. This is to prevent errors when posting time to phase codes that are in a different state.
