This process will export data from the database and provide it in another format for upload into your accounting system.
The steps to export are:
- Select the week ending date that you wish to export. You can select one of the last 4 weeks.
- Select the export format in the drop down. Each data export has it's own details, see below.
- Next set the filters
- Project Manager. You can select ALL or select one project manager.
- Job.
- You can select ALL - this will filter based on the project manager selected above
- Or select one job.
- Changes Only?
- ALL phase codes
- Changes Since. This will select only phase codes where there has been a change since the date entered. The default date is one month previous.
After the filters are selected click START EXPORT
Spectrum Projections as CSV File
This export will format a CSV file suitable for importing into spectrum using the SDX import utility "Job Projections".
- After creating the export file, open excel and select the Spectrum menu tab.
- Find the Job Projections template and open it.
- Open the export file, select ALL and paste the data into the template.
- Select SYNC.
NOTE: If you don't have the Spectrum menu tab in excel, then you need to have your IT department install the Spectrum Add-In.
How will this projection appear in Spectrum?
The Spectrum import routine makes an adjusting entry so the projection for the month is equal to the projection coming from JobSiteForecast.
Example:
Existing projection is showing 100 hours.
JobSiteForecast send a new projection for 120 hours.
The entry in your job projections will be:
Previous projection = 100 hours
Adjustment from JobSiteForecast = 20 hours.
Current Projection = 120 hours
Spectrum Projections Direct Transfer
This export will transfer the labor forecast directly into your job projections system in Spectrum without creating an intermediate file. This method is more convenient for project managers, since they can use this without needing any Spectrum file utilities.
The file transfer using this method is slower (about 1 record per second), since Spectrum can only import one record at a time. The progress bar will show the status of the Spectrum transfer. You can leave the screen or close the browser, and the process will finish on its own. Any errors that occur will be documented on the export log.
